for Exhibitions

Long event windows. Capacity caps. Real time-slot ticketing.

Eventdaddy ships first-class flows for time-slotted entry, multi-day passes — and the awkward middle of an exhibition: free walk-in zones alongside premium ticketed experiences. Built for showcases that run for weeks — not hours.

01 · What's broken today

Conference tools assume one day. Exhibitions don't work that way.

Most platforms are built around a single date and time. The moment you need a 14-day window with hourly capacity caps — premium tiers — and free walk-in zones — you're in custom-development territory — or you're using three tools.

Time-slotted entry is a hack

You sell 200 tickets at the door for "any time on Saturday" and the queue is around the block at 11 AM. Or you build a fragile spreadsheet to manage hourly slots manually.

Multi-day passes don’t exist

Visitors want a 3-day pass at a discount. Or a single-day pass for Tuesday only. Most ticketing tools handle one or the other — never both at once.

Free zone vs premium zone is two systems

Free general admission alongside paid VIP experiences (curator-led tours, dinners) means most teams run two platforms in parallel and reconcile attendees on a spreadsheet.

Capacity is enforced at the door — not online

You sell unlimited online — then refuse entry at the gate when capacity is hit. Bad press, refunds — and angry visitors who travelled to attend.

02 · How Eventdaddy fits

Modules that understand exhibition economics.

Long windows, mixed pricing, hourly capacity. Every module configured for the parts of an exhibition the rest of the industry pretends don't exist.

Time slots

Hourly time-slot reservations with capacity caps.

Configure slots in 15 / 30 / 60 minute increments. Each slot has its own cap. When a slot fills — it disappears from the picker. Visitors arrive on time, queues stay short.

  • 15 / 30 / 60 / 120 min slot durations
  • Per-slot capacity caps
  • Auto-hide full slots from booking page
Pass types

Multi-day — single-day — and premium tiers in one flow.

Sell a 14-day pass at one price — single-day at another — and a curator-led tour as a premium add-on. All in the same checkout — all on the same attendee record.

  • Multi-day pass with discount tiers
  • Single-day passes per date
  • Premium experience add-ons (tours, dinners, openings)
Free + paid mix

Free general admission alongside ticketed zones.

Some zones free, some require a paid ticket. Eventdaddy handles both flows on the same attendee profile — register once — scan into either zone.

  • Free GA + paid premium in one account
  • Per-zone access rules
  • Single attendee record across all zones
Sponsor zones

Sponsor-branded zones with traffic analytics.

Sponsors pay for branded zones. You give them traffic counts, dwell time — and lead capture inside the zone. They renew because the data is real.

  • Per-zone traffic + dwell time
  • Optional lead capture inside zone
  • Auto-emailed nightly sponsor reports
Check-in

Multi-gate, multi-day — sub-second.

Multiple entrances, days-long event window, walk-ins — and pre-reg attendees — all flowing through the same iPad app with offline-safe sync.

  • Multi-gate live footfall
  • Walk-ins at any entrance
  • Offline-safe (syncs when reconnected)
Cap protection

Capacity enforced online — not at the door.

When the venue cap (or per-slot cap) is hit — the picker disappears and the booking page shows a "next available slot" suggestion. No refunds — no angry visitors — no door-staff arguments.

  • Online cap = real cap
  • "Next available slot" suggestion when full
  • Waitlist with auto-promotion

03 · Questions exhibition operators ask

A few specifics.

Can I limit each time slot to, say, 50 visitors?

Yes. Each slot has its own cap independent of the daily or event-wide cap. When a slot fills — it disappears from the booking page automatically. You can also set a "soft cap" that warns visitors but allows overflow if needed.

How do you handle visitors who buy a pass but don't pick a slot?

Two modes: (a) require slot selection at checkout (default for capacity-controlled events) or (b) allow open-pass purchase with optional slot reservation later via email link. Mode (b) suits long exhibitions where visitors plan a few days ahead.

Can I run a free exhibition?

Yes. The 2% ticketing fee drops to zero on free tickets. The annual platform fee and $5 per-registration fee still apply. Most public exhibitions run this way: free admission with premium add-ons (curator tours, members nights) charged on top — predictable pricing whether tickets are paid or free.
