for Conferences

Run a multi-track conference without the four-tab tax.

Eventdaddy is a single surface for the agenda — the speakers — the tickets — the sponsors — and check-in. Built for conference operators who'd rather rehearse the keynote than fight Mailchimp at 11 PM.

01 · What's broken today

A 600-person conference shouldn't need 8 tools to run.

Most teams stitch a CMS, a registration tool, an email tool, a spreadsheet for speakers — and a separate scanner app — and pray the data lines up on event day.

Speakers don’t submit on time

Bios, headshots — and slide decks land in your inbox via 47 different threads. The week before the event becomes a manual chase.

Multi-track agenda is a Notion table

Three rooms × four days × 36 sessions = a brittle spreadsheet. One swap and the website, app — and emails all go out of sync.

Marketing is everywhere except where you are

Mailchimp for save-the-dates. LinkedIn for posts. Eventbrite for the page. None of them know who already registered — so reminders go to the wrong people.

Sponsors want lead reports yesterday

Lead scanning rented hardware costs $50/booth. Reports come 7 days after the show, too late for the sponsor’s internal MQL stand-up.

02 · How Eventdaddy fits

Designed around the conference workflow.

Every module configured for the actual job a conference operator does — from the moment a speaker is invited to the day a sponsor sees their leads.

Agenda

Multi-track agenda builder — not a spreadsheet.

Drag-drop sessions across rooms and days. Speaker assignments + capacity caps + room swaps propagate to the public site automatically.

  • Up to 12 parallel tracks · 7 days
  • Conflict detection (same speaker — two rooms)
  • Public agenda page auto-publishes on save
Speakers

Self-serve speaker portal.

Each speaker gets a portal link to upload their bio, headshot — and slide deck. Reminders + status tracking built-in. You stop being the inbox.

  • One portal link per speaker
  • Auto reminders at T-30 / T-14 / T-3
  • Confirmed / pending / declined dashboard
Marketing

Email + LinkedIn + abandoned-cart in one place.

Save-the-date sequences, last-call broadcasts — and LinkedIn auto-post (where attendees post their attendance to their network) — all triggered off the same audience.

  • LinkedIn auto-post · opt-in only · official share API
  • Abandoned-cart recovery list with one-click sales handoff
  • Drip sequences that respect opt-outs
Check-in

Two iPads at the door is enough.

Sub-second QR scans — on-site Brother / Zebra badge printing, walk-in tickets in 30 seconds. Multi-gate footfall live in your dashboard.

  • Offline-safe (syncs when reconnected)
  • Walk-ins — name fixes, swap-ins on iPad
  • Live footfall by track / room / sponsor zone
Sponsors

Sponsor leads delivered same-day.

Each sponsor gets a portal where their booth-scanned leads appear in real-time. CSV + API + CRM-sync export — no 7-day lag — no rented scanner hardware.

  • One QR per booth · scan from any phone
  • Per-sponsor lead reports auto-emailed nightly
  • Salesforce / HubSpot push via webhook
After

Post-event ROI report ready in one click.

Attribution: which channel filled which session. Survey results, attendance heatmaps — sponsor-by-sponsor traffic — and a clean attendee CRM ready for next year.

  • UTM-aware channel attribution
  • Per-session attendance + drop-off
  • One-click sponsor PDF report

03 · Questions conference operators ask

A few specifics.

Can you handle a 7-day, 12-track conference with 5,000 attendees?

Yes, multi-track and multi-day are first-class concepts in the agenda builder — not a workaround. Per-track capacity caps, room conflicts — and speaker conflicts are detected automatically. Bring us your numbers and we will walk through how the architecture handles them on the demo call.

Do speakers need an Eventdaddy login?

No. Each speaker gets a unique portal link via email — no password, magic-link only. They upload their bio + slides + photo and you see their status in your speakers dashboard.

Can session attendees be ticketed separately from event attendees?

Yes. Sessions can have their own capacity caps and waitlists — and you can charge add-on fees for premium sessions (workshops, dinners) on top of the main ticket. Attendees pick sessions during checkout or post-purchase.
